Leadership WestLake — cohort-management platform for the Westlake Chamber of Commerce
Leadership WestLake (the “App”) is a private cohort-management tool the Westlake Chamber of Commerce (the “Chamber”) uses to run its Leadership Westlake program. The App is built and operated by Ayres Labs LLC (“Ayres Labs”) under agreement with the Chamber. It is intended only for enrolled program members, planning-team volunteers, applicants, and authorized Chamber staff. This policy explains what the App collects, why, who can see it, and how it is protected.
The Chamber decides what information the program collects and how it is used; it is the owner of the program data. Ayres Labs stores and processes that information only to operate and support the App, under the Chamber's instructions, and does not use it for any other purpose.
| Category | What | Why |
|---|---|---|
| Account | Name, email address, password (stored only as a salted hash), sign-in tokens, and — if you turn on multi-factor authentication — a one-time secret and backup codes. | To sign you in securely. |
| Profile | Phone number, job title, company or organization, a short bio, an optional headshot or avatar you upload, shirt size, and dietary restrictions. | So the program directory and day teams can reach and accommodate you. |
| Program participation | Attendance records, survey responses, reading-program progress, graduation-requirement status, agenda contributions, and messages you send in the App's program threads. | To run the program year and report on it. |
| Program planning | Names, roles, organizations, and contact details of speakers, venue contacts, and sponsors entered by the planning team. | To build and publish day agendas. |
| Applications | If you apply to the program: the information on your application form and your contact details. | To review applications and communicate decisions. |
| Device & notifications | If you enable notifications: a push-notification token issued by Apple or Google for your device. | To deliver program alerts you opted into. |
| Technical | Standard server logs (IP address, browser type, timestamps) and error reports with technical context. | Security, troubleshooting, and keeping the App reliable. |
We do not collect Social Security numbers, government IDs, or payment card details.
Information is used solely to operate and administer the Leadership Westlake program — to authenticate you, track attendance, collect survey feedback, coordinate program agendas, enable messaging between participants, and send program-related notifications. We do not sell your data, use it for advertising, or share it with third parties for marketing. Survey feedback is used to improve the program, not to evaluate individuals.
Access is limited by role within the App. Class members see the class roster (name, title, organization, photo) and their own records. Contact details such as email and phone are visible only to program leadership — the Chamber CEO, chairs, steering committee, and Chamber office staff — and to the liaison and facilitators of the program day you are assigned to. Survey responses and attendance are visible only to program chairs and Chamber staff. Ayres Labs personnel access the underlying systems only to operate and support the App.
These providers process information only to deliver their service to us and are not permitted to use it for their own purposes.
All traffic between the App and the server is encrypted in transit (HTTPS). Passwords are stored only as salted hashes and are never retained in plain text. Backups are encrypted. Administrative access to the systems is limited to Ayres Labs and protected by cryptographic keys rather than passwords. If we become aware of a security incident affecting your information, we will notify the Chamber promptly once it is confirmed, and the Chamber will inform affected participants.
We keep your information for the duration of your participation in the program and for a reasonable period afterward for program records; the Chamber keeps aggregate program history (such as attendance totals for a completed class). Application materials for applicants who are not admitted are kept only as long as the Chamber's recruitment process requires. You may request access to, correction of, or deletion of your personal information, or deletion of your account, by contacting the program administrator below; we will respond within 30 days. Encrypted backups are retained for a limited period and then overwritten.
The App is intended for adult program participants and is not directed to children under 13. We do not knowingly collect personal information from children.
We may update this policy as the program evolves. Material changes will be reflected by an updated effective date at the top of this page, and you may be asked to acknowledge them when you next sign in.
For any privacy question, or to request access, correction, or deletion of your data, contact the program administrator at info@westlakechamber.com. Technical questions about the App itself can be directed to Ayres Labs through the Chamber.
